A handover is more than a password list

Changing a spa agency means taking over guest acquisition and communication in a manageable way. Start by establishing who controls each digital asset and who can access it. Being able to view an account does not establish that the business controls administration or billing. Verify access against the tasks that must be performed, rather than treating a shared password as the handover itself.

Inventory the domain registrar, DNS, hosting, website source files, ad accounts, Meta business assets, Instagram, Business Profile, analytics and booking system. For each, record the asset identifier, business owner, outgoing agency role, renewal or payment responsibility and evidence of handover. If a hotel’s central team controls its spa’s domain or ad account, identify that dependency explicitly.

Who should use it, and what should they prepare?

This guide is for a spa operator who has decided to change agency or wants a clear handover scope before accepting a proposal. It does not rank agencies; it focuses on transferring an existing system in a controlled, traceable way. It does not replace authorized account recovery or resolution of an ownership dispute.

Start with the delivery scope in the existing agreement, an asset list, an authorized business contact, critical campaigns and the intended transition date. Do not assume missing ownership or usage rights. Record steps that depend on hotel management, a separate booking provider or a freelance designer, with an owner for each.

Review measurement and billing before unlinking advertising accounts

Check Google Ads user permissions separately from a manager-account connection. Google provides account invitations and access-level management. An authorized business user should confirm the incoming team can perform its assigned work; sending an invitation does not prove access is complete.

Google’s unlinking guidance says the account retains its own campaign history, but shared audiences, cross-account conversion tracking and some billing arrangements can be affected. Do not disconnect the outgoing manager as the first step. Identify existing dependencies, plan the necessary transition and verify advertising delivery separately from measurement continuity.

For a spa, hand over the branch, service and WhatsApp team associated with each campaign. Routing a couples-treatment campaign to the wrong desk, or a tourist hammam enquiry to a team unable to support its language, can disrupt the journey even when the link works technically. Record Meta asset identifiers and actual permissions too; do not apply Google’s transfer procedure to a different platform.

Separate domain, website and Maps ownership

A website handover is different from a domain transfer. Specify separate deliverables for the deployed application, source code, image usage rights, form recipients, backups and external booking links. Changing agency does not itself require a new domain or a new set of URLs. When the same site continues, retaining working service and booking addresses avoids unnecessary migration risk.

Only the current primary owner can transfer a Google Business Profile’s primary ownership. New owners and managers face a seven-day restriction on some actions. Check those conditions when planning the schedule. Do not treat deleting and recreating a real spa location’s profile as a routine handover method. Afterwards, compare its address, hours and booking link with the actual operation.

Mark each acceptance check separately: domain renewal is accessible; publishing access works; forms reach the right team; map links open the correct branch; the business can view measurement accounts. Receiving files is different from taking over a functioning system. A zip file alone does not establish that these checks have passed.

Verify creative assets and measurement in the same handover record

For creative work, specify the editable files included in the agreement, font or stock licensing information and language versions as well as finished visuals. If reuse rights are unclear, do not mark an asset as ready. Separating photography of the real premises from illustrative material helps the new team avoid misleading content.

For measurement, hand over existing event names, conversion definitions, reporting periods and known gaps. Check that two tags do not count the same WhatsApp action and that a form is recorded as completed only after successful submission. Tell reception about a test enquiry and exclude it from genuine demand reporting. The incoming agency’s first report should explain which historical periods remain comparable.

Close outgoing access after acceptance checks

Assign a handover owner for the business, outgoing team and incoming team. Track complete, access pending, documentation pending and failed test in one list. Instead of hiding a delayed item, record which work depends on it. Responsibility for urgent campaign changes should remain clear throughout the transition.

Once necessary access and critical journeys are verified, remove outgoing permissions that are no longer needed and record remaining roles and renewal responsibilities. This guide does not resolve account recovery or contractual disputes. Ownership or permission problems require the platform’s official process and the relevant parties’ authorization. A useful spa-agency handover lets the next team operate without guessing how the system was assembled.

Frequently asked questions

Does changing agency require a new Google Ads account?

Not automatically. Review business access and dependencies before changing the manager connection. This guide does not recommend new accounts to circumvent account or policy restrictions.

When should outgoing access be removed?

Remove unnecessary access after confirming business administration, incoming permissions and critical service journeys. An active security incident requires separate assessment.

What proves a handover is complete?

Accepted access, recorded asset identifiers, delivered files, disclosed dependencies and working website, form, contact and measurement tests. Passwords or reports alone are insufficient.

Which handover mistakes should a spa watch for?

Removing access before the replacement is verified, overlooking manager-dependent measurement, missing form recipients, and confusing delivered files with a working system. Set a separate acceptance check for each.

Is retained campaign history enough for comparison?

No. Conversion definitions, tags, reporting scope and data gaps also matter. Preserved history with a changed measurement definition may not support a direct comparison of identically named metrics.
